Privacy Policy

How GroundGO handles personal information across outdoor-service enquiries, mower orders, website use, support, marketing and warranty administration in New Zealand.

1. Scope and privacy responsibilities

This policy applies when you use the GroundGO website, request lawn mowing, gardening, clearing or Auckland landscaping services, buy a GroundGO mower, contact GroundGO, join a marketing list or make a warranty or service-centre enquiry. GroundGO handles personal information in accordance with the Privacy Act 2020 and its information privacy principles.

  • GroundGO acts as the collecting agency for website, service, product and support information
  • Appointed operators and providers must use information only for the work assigned to them
  • This policy does not control an unrelated third party’s own website or independent privacy practices

2. Information collected directly from you

GroundGO collects information that is reasonably necessary to respond to you, provide a quotation, arrange work, process an order, deliver a mower, administer support or comply with legal obligations.

  • Name, email address, telephone number and preferred contact method
  • Service address, delivery address, postcode and access instructions
  • Property size, lawn or garden condition, requested work, hazards, pets and scheduling preferences
  • Photos, video, plans, measurements and messages you choose to provide
  • Order, invoice, payment-status, delivery, refund and warranty records
  • Product model, serial number, maintenance history and fault information
  • Marketing choices, survey responses and competition entries

3. Information collected automatically

When website tools are enabled, technical information may be recorded so GroundGO can operate the site, prevent abuse, understand performance and measure advertising.

  • IP address, browser, device type, operating system and approximate location derived from IP
  • Pages viewed, links selected, referring page, date, time and session activity
  • Cart state, cookie choices and form or checkout events
  • Advertising identifiers and campaign attribution when advertising or remarketing tools are enabled

4. Information received from other people

GroundGO may receive information from a person acting for a property owner, a tenant, a business customer, a gift purchaser, an appointed service provider, a freight carrier, a payment provider or a repair centre. New Zealand’s indirect-collection notification requirements may require notice to the affected person unless an exception applies.

  • Please provide another person’s information only when you are authorised to do so
  • GroundGO may contact that person to explain the collection where required
  • Fraud, delivery, payment and service-status information may be received from providers involved in the transaction

5. Why GroundGO uses information

GroundGO uses personal information for the purpose for which it was collected and for directly related purposes that a reasonable person would expect.

  • Prepare and follow up quotations
  • Allocate local lawn, garden or clearing work
  • Confirm access, hazards, scope, appointments and completion
  • Process mower orders, payments, freight, returns and refunds
  • Register products and administer warranty, technical support and service-centre referrals
  • Respond to questions, complaints, disputes and legal requests
  • Maintain security, prevent fraud and improve website and service performance
  • Send marketing only where GroundGO has an appropriate basis and honours opt-outs

6. Property photos, video and job records

Photos and video can contain personal information, including faces, vehicle registrations, addresses and identifiable property details. GroundGO uses job media for quoting, access planning, hazard review, work allocation, completion evidence, quality control and dispute handling.

  • Customer-supplied media may be shared with the operator assigned to quote or complete the work
  • Before-and-after media will not be used publicly for marketing without an appropriate permission or another lawful basis
  • Customers should avoid including neighbours, children or unrelated private information unless necessary

7. Who information may be shared with

GroundGO discloses only the information reasonably needed for the recipient to perform its role, or where disclosure is otherwise permitted or required by law.

  • Local GroundGO operators, contractors and customer-support personnel
  • Stripe or another connected payment processor
  • Mainfreight, StraitNZ and other appointed freight or delivery providers
  • Technology, hosting, analytics, CRM, email, SMS and customer-support providers
  • Accountants, insurers, professional advisers, regulators, courts and enforcement agencies
  • Appointed third-party mower assessment and repair centres

8. Payments and financial information

When Stripe or another payment provider is connected, card details are entered into that provider’s secure payment environment. GroundGO may receive a payment token, transaction status, card type and limited masked information, but does not need to store the full card number or security code.

  • Payment providers apply their own privacy and security terms
  • GroundGO retains invoices, refunds and transaction records required for accounting, warranty and dispute purposes
  • Do not send full card details through ordinary email, text or website enquiry forms

9. Cookies, analytics and local storage

The website may use cookies, pixels, tags and browser storage for cart operation, security, preferences, analytics, conversion measurement and advertising. Non-essential tools should be described and controlled through the website’s cookie settings when they are connected.

  • Essential storage keeps the cart and basic site functions working
  • Analytics may measure aggregated visits and user journeys
  • Advertising tools may associate visits with an advertising platform account or identifier

10. Advertising and remarketing

If enabled, GroundGO may use Google Ads, Meta or similar platforms to measure campaigns and show ads to people who previously visited the website or interacted with GroundGO. These providers may use cookies, pixels or matching technologies under their own policies.

  • Remarketing does not give GroundGO access to a person’s full advertising-platform password or private messages
  • Audience lists may be based on page visits, quote activity, cart activity or completed purchases
  • GroundGO will not knowingly upload sensitive property notes or warranty fault details for advertising
  • You can use GroundGO’s cookie controls and the relevant platform’s advertising settings to limit personalised advertising

11. Email and SMS marketing

Commercial electronic messages are sent only where GroundGO has express, inferred or deemed consent available under New Zealand law. Messages identify the sender and provide a clear, functional and free unsubscribe method.

  • Transactional messages about quotes, appointments, orders, delivery, safety, warranty or support may still be sent when needed
  • Marketing consent can be withdrawn at any time
  • Unsubscribe requests are actioned as soon as practicable and within the legal timeframe
  • GroundGO does not use address-harvesting software or knowingly market to purchased lists without valid consent

12. Overseas service providers

Some technology, analytics, advertising, payment or support providers may process information outside New Zealand. Before disclosing personal information overseas, GroundGO will take the steps required by Privacy Principle 12, which may include checking comparable safeguards, using contractual protections or obtaining informed authorisation where appropriate.

13. Security

GroundGO uses safeguards that are reasonable in the circumstances to protect personal information against loss, misuse, unauthorised access, disclosure, alteration and destruction.

  • Role-based access and account controls
  • Secure payment-provider integration rather than storage of full card data
  • Reasonable technical, organisational and provider-security measures
  • Review and response procedures for suspected privacy or security incidents

14. Retention and deletion

GroundGO keeps information only for as long as it is reasonably needed for the purpose collected, warranty and service history, accounting and tax obligations, legal claims, fraud prevention, health and safety records and dispute resolution. Information is then deleted, de-identified or securely disposed of where practical.

  • Different records have different legal and operational retention periods
  • A marketing suppression record may be retained so an unsubscribe request remains effective
  • Backups may retain information for a limited cycle before secure deletion

15. Access, correction and complaints

You may ask whether GroundGO holds personal information about you, request access to it and ask for correction. GroundGO may need to verify identity and may withhold information only where the Privacy Act allows.

  • Use the Contact page and describe the information or correction requested
  • If a correction is not made, you may ask GroundGO to attach a statement of correction
  • You may raise a privacy complaint with GroundGO and, if unresolved, with the Office of the Privacy Commissioner

16. Privacy breaches

GroundGO investigates suspected privacy breaches, takes reasonable steps to contain harm and records the response. Where a breach has caused or is likely to cause serious harm, GroundGO will notify the Office of the Privacy Commissioner and affected people as required by the Privacy Act 2020.

17. Children and other people’s information

The website is intended for adults arranging property services or buying equipment. GroundGO does not knowingly seek unnecessary personal information from children. A parent, guardian or authorised adult should contact GroundGO where a child’s information is involved.

18. Policy changes

GroundGO may update this policy when services, technology, providers or legal obligations change. The effective date will be updated, and material changes will be highlighted or notified where reasonably required.
